Instead of further describing our services we present
the case of one of our customers which was effectively
implemented:
Brief
When the reprographics contract of
one of our major international clients was coming to
the end of its 5 year term, the existing supplier's
new bid revealed a 20% per annum increase in costs.
This coupled with the fact that the current reprographics
equipment was fast becoming outdated and required upgrading
to a digital environment led them to search for an innovative
solution.
We re-specified the contract with an
alternative supplier. Our brief, as the Principal Managing
Agent, was to locate a supplier who could offer an improved
service using industry leading technology, whist also
delivering a reduction in the contract price.
Challenges
- Achieving improved levels of quality and an expanded
range of services, whilst also realising a saving
on the contract price
- Updating the existing outdated reprographics
equipment without this impacting upon the price
of the contract
- Offering customers an excellent service during
the changeover period
Solution
We evaluated a range of suppliers capable
of matching our client's specific requirements. We then
identified a new supplier who could provide a superior
level of support, excellent client satisfaction scores,
competitive pricing and a full range of leading edge
products and services.
- An upgraded digital service was introduced to
replace the existing analogue environment. This
lead to reduced reliance on traditional plotters
and the user's laser quality printers
- An enhanced range of services was offered to
users
- The finishing section was upgraded to provide
more advanced features and increased options for
users
- The incoming supplier relocated the reprographics
section to a larger refurbished office, with no
impact on the service provided to the client. All
refurbishment costs were borne by the incoming supplier
- A local Supervisor was appointed to manage quality
of output and measure the performance of the unit
Benefits
- The contract price was successfully reduced by
35%
- 40% of the total copy output is now produced
from on-line requests offering increased convenience
and productivity for users
- The services upgrade, from an analogue to a digital
environment, enables users to email their requirements
direct to the reprographics section, improving turnaround
times and quality of output
- Customers benefit from a totally flexible service
on site. For example, the department has increased
ability to handle more complex finishing requirements
such as plan folding, A1 and A0 laminating
- Colour copying speed has increased from 39 to
73 copies per minute
- The reprographics team benefit from a well-lit
and comfortable working environment which is also
pleasant for users to visit
- Development and training plans were implemented
for the existing reprographics team further improving
morale
